How to create email reports

Automatically-generated email reports are a great way gain operational insight on the usage of Qudini in your venue(s). Reports can be setup so that you can receive them on a daily, weekly or monthly basis.

Reports can be received by any Merchant Admin or Venue Admin user, however, only Merchant Admin users with Merchant owner permissions are able to set up the email reports.

Set up Email Reports

Go to Merchant > Reporting > Email Reports

When creating your email reports, you will select the venues and queues you wish to see, as well as the data points you would like to analyse. You will also select the users that will receive this report.

There are two types of email reports:

  1. Merchant Admin reports - These reports can contain statistics and data from a combination of stores.
    These can be sent to any Merchant Admin users, and are generally used for Regional Managers and Head Office staff members. 

  2. Store Admin reports - These reports can only contain statistics and data for one specific venue.
    These can be sent to a Venue Admin user of a specific venue, and are generally used for Store Managers.

Setting up a Merchant Admin report


  1. Click Add New Report.
  2. From dropdown options, select the criteria you would like:
    • Users - The recipients of the report. If the user you are looking for does not appear in this list, it is because they do not have a Merchant Admin user account. Please note that you can only set up email reports to be sent to email addresses of existing users, therefore make sure that the email address is associated with a user before trying to add them to a report.
    • Report Frequency - Choose between daily, weekly or monthly reports.
      Reports are sent the following day. For example, if you have selected a Daily report then Monday’s summary will be sent on a Tuesday.
      A weekly report will give you a further option to select which day of the week your weekly period starts. For example, if your week runs Monday - Sunday, then you will select Monday.
      Monthly reports run from the 1st to the end of the month, and are sent on the 1st of every month.

    • Stores: Queues - Select which stores and queues you would like to include. Combining stores and/or queues into one report will allow you to see the combined totals.

    • Data - The first dropdown will allow you to select a Report Template if you have set one up (see details below).
      The second dropdown allows you to tailor the report by selecting any of the data points in the list.

    • Send as PDF - Enabling this will convert the report into a PDF attachment within the email.

  3. Click Save.

Setting up a Store Admin report

  1. Click Add New Report.

  2. From dropdown options, select the criteria you would like:

    • Store:Queues - Select which store and corresponding queues you would like to include. Combining queues into one report will allow you to see the combined totals.

    • Report Frequency - Choose between daily, weekly or monthly reports.
      Reports are sent the following day. For example, if you have selected a Daily report then Monday’s summary will be sent on a Tuesday.
      A weekly report will give you a further option to select which day of the week your weekly period starts. For example, if your week runs Monday - Sunday, then you will select Monday.
      Monthly reports run from the 1st to the end of the month, and are sent on the 1st of every month.

    • Admins assigned - The recipients of the report. After selecting the Store:Queues the dropdown will only show the Venue Admins associated with that venue. If the user you are looking for does not appear in this list, it is because they are not an Admin of that venue.
      The dropdown will also show the Merchant Admin users.

    • Data - The first dropdown will allow you to select a Report Template, if you have set one up (see details below).
      The second dropdown allows you to tailor the report by selecting any of the data points in the list.

    • Send as PDF - Enabling this will convert the report into a PDF attachment within the email.

  1. Automatically add new admins - Once a report has been created, enabling this option will mean that any new Merchant Admin or Venue Admin users created, will automatically be added to the report distribution list. If you upgrade an existing user to have Admin permissions, they will also be automatically added.

  2. Click Save.

Once you have created your report, it will appear in the list with some additional options:

  • Edit - You can add or remove any venues, users or data to your existing reports.

  • Preview - This will open a new browser tab and generate the most recent version of that report. Or if Send as PDF is enabled, the Preview button will trigger an email containing the PDF.
    N.B. If a report has a lot of data to preview, the page can take a couple of minutes to load. 

  • Remove - If you no longer require this report.

  • Duplicate - If you have not setup a Report Template, but want most of the same dropdown options for another report, you can Duplicate the existing report. This helps to create multiple reports faster.

Set up Email Report Templates

Report Templates can make selecting data in your email reports easier.

Go to Merchant > Reporting > Report Templates

  1. Click New email report template.

  2. Name - Give your template a name that you’ll see when you are creating a report.

  3. Data - Select the Data points that you would like to include in your template.

  4. Click Save.

You can edit the data in your Report Template anytime, however this will not automatically update the data in your existing Email Reports. Therefore you will need to deselect the chosen template and re-select it for each instance that template is used.
